TERMS AND CONDITIONS - IONA RETREAT

Terms and Conditions for “In Between” Iona retreat
1-5 May 2025

 
1. Retreat Details
1.1. This document outlines the terms and conditions ("Agreement") for participants ("Participants") attending the spiritual group retreat ("Retreat") organised by Fiona Koefoed-Jespersen and Debbie Horrocks ("Organiser"). The Retreat will take place on the Scottish island of Iona in shared accommodation and will include activities such as hiking and visiting local sites and ruins.

2. Retreat Registration and Payment
2.1. Participants must register for the Retreat through the Organiser's website. A non-refundable deposit is required upon registration to secure a place in the Retreat.
2.2. The full Retreat fee must be paid by the deadline specified by the Organiser. Failure to pay the full fee by the deadline may result in the forfeiture of the Participant's place in the Retreat.
2.3. The Organiser may offer discounts on the Retreat fee under certain circumstances at their discretion. These cannot be passed on to any other Participant.

3. Cancellations and Refunds
3.1. Cancellations by Participants: 
3.1.1. Participants who wish to cancel their participation in the Retreat must notify the Organiser in writing. 
3.1.2. Refunds for cancellations will be provided according to the following schedule:
- Cancellations made up to six months before the Retreat start date: 100% of the total Retreat fee.
- Cancellations made between six months and two months before the Retreat start date: 50% of the total Retreat fee, or 100% should a replacement Participant be found.
- Cancellations made within two months of the Retreat start date: No refund will be provided, unless a replacement Participant can be found.

3.2. Cancellations by the Organiser: The Organiser reserves the right to cancel the Retreat due to unforeseen circumstances, including but not limited to natural disasters, low enrolment, or other factors. In such cases, a full refund will be provided to Participants.

4. Accommodation and Meals
4.1. Participants will be provided with shared accommodation during the Retreat, in single beds, with a shared bathroom.
4.2. Meals during the Retreat will be self-catered with Participants involved in helping with preparation, serving and clean up of the meals on a rota system. Participants with dietary restrictions or allergies must notify the Organiser in advance.

5. Retreat Activities
5.1. Participants are invited to engage in all Retreat activities, including walks and visiting local sites, as scheduled by the Organiser. They are always free to opt out of any activity. No refunds will be offered if a participant chooses not to participate in any particular activity. 
5.2. Participants are responsible for their own safety during activities. The Organiser will provide guidance and supervision as appropriate but will not be held liable for any injuries or accidents that may occur.

6. Code of Conduct
6.1. Participants are expected to adhere to a respectful and considerate code of conduct throughout the Retreat, which includes treating fellow participants, staff, and the local community with kindness and respect.
6.2. The Organiser reserves the right to expel any Participant from the Retreat if their behaviour is disruptive, harmful, or in violation of local laws.

7. Liability and Insurance
7.1. Participants are strongly encouraged to obtain travel insurance to cover their journeys, personal belongings, health, and any unforeseen circumstances that may arise during the Retreat.
7.2. The Organiser is not responsible for any loss, damage, or injury to Participants' personal property or health during the Retreat.

8. Health and Medical Considerations
8.1. Participants are responsible for ensuring they are in good health and able to participate in the Retreat's physical activities. Any medical conditions or dietary restrictions must be disclosed to the Organiser in advance.

9. Changes to Itinerary
9.1. The Organiser reserves the right to make changes to the Retreat itinerary, including activities and accommodations, if necessary.

10. Governing Law
10.1. This Agreement shall be governed by and construed in accordance with the laws of Scotland.

11. Agreement Acceptance
11.1. By registering for the Retreat, Participants acknowledge that they have read, understood, and agree to comply with these Terms and Conditions.
